MedPath Refund Policy

Full Payment Requirement

All rotation fees must be paid in full at least 30 days before the official rotation start date. Failure to complete payment within this timeframe may result in cancellation of the reserved placement.

Cancellation by Student

If the student cancels the placement, refund eligibility depends on the timing of the cancellation and the applicable policy of the host hospital, minus MedPath administrative and coordination fees:

  • More than 60 days before the start date: Students may be eligible for a partial refund based on the hospital's cancellation policy, minus administrative and coordination fees.

  • 31–59 days before the start date: Students may be eligible for a partial refund based on the hospital's cancellation policy, minus administrative and coordination fees.

  • 30 days or less before the start date: No refund will be issued.

Letter of Acceptance (LOA) / Visa Documentation Issued

Once a hospital Letter of Acceptance (LOA) or any immigration-related documentation has been issued, no refund will be provided regardless of the reason for cancellation. This follows hospital policy and immigration processing commitments. The sole exception is a documented visa rejection — see Visa Rejection policy below.

Visa Rejection

Visa approval is solely determined by the relevant embassy and cannot be guaranteed by MedPath. If a visa is rejected after LOA issuance, refund eligibility will depend entirely on the host hospital's cancellation policy. Administrative and coordination fees remain non-refundable in all cases. To be considered for a refund, the student must provide official documentary proof of visa rejection issued by the embassy or consular authority.

Hospital Cancellation

If a hospital or supervising physician cancels a rotation from their side, MedPath will first attempt to offer a suitable replacement rotation. If no acceptable replacement is available or accepted by the student, MedPath will offer one of the following remedies:

  • Shift the rotation to an alternative date or hospital of equivalent specialty and duration; or

  • Apply the amount paid as a credit toward a future placement with MedPath; or

  • Issue a refund in accordance with the hospital's applicable cancellation policy.

Rescheduling Policy

One reschedule request may be permitted depending on hospital availability. Additional rescheduling requests may be subject to administrative fees and hospital approval.

Add-On Services

Additional services including visa guidance, housing assistance, document review, interview preparation, and similar support services are non-refundable once provided. These services are considered separate service-based support and are not included under hospital refund policies.

Hospital-Specific Refund Policies

Rush University Medical Center

  • Visa Rejection: A refund of USD $300 will be issued from the initial deposit, provided the student submits official proof of visa rejection.

  • LOA Issued: No refund will be provided once an LOA has been issued, except in the case of a documented visa rejection as stated above.

Loretto Hospital | CFMC | Vista Medical Center | Silver Cross Hospital

  • Cancellation 60+ days before start date: A refund of USD $300 will be issued.

  • Cancellation 31–59 days before start date: A refund of USD $150 will be issued.

  • Cancellation 30 days or less before start date: No refund will be issued.

  • LOA Issued: No refund will be provided once an LOA has been issued, regardless of cancellation timing — except in the case of a documented visa rejection, in which case the applicable refund above applies based on the cancellation date.
